Our client, an RTP area medical association in high growth mode is actively recruiting for a very sharp and capable professional to assume point-person position on its Meetings/Education team.

This association provides education, advocacy, research, and other business services to its members. It runs numerous programs throughout the year, and throughout the country. This individual will provide administrative support to both the Meetings and Medical Education teams.  It is a busy and diverse role that will involve juggling many administrative elements as well as being the front line for constituents’ questions/concerns.  Seek supremely organized candidate who enjoys being the “go to.”  

Position will involve extensive interaction with physicians.  We seek a candidate with the professionalism and competence to quickly earn their respect.

Key Responsibilities:

  • Support Meetings Department
    • First point of contact for phone lines for the department. Input meeting registrations received
    • Draft emails and memos to customers
    • Deadline and due date tracking for contracts, payments, etc.
    • Update reports (room blocks, actuals, final registration numbers, graphs, etc)
    • Coordinate payment requests for faculty, hotels, convention centers, etc.
    • Prepare name badges, registration lists, sign inserts, and other administrative meeting-related needs
  • Support for Education Department
    • First point of contact for phone lines for the department
    • Input product orders received; follow up on open orders
    • Draft emails and memos to customers
    • Package/Ship orders for educational products
    • Upload Course Content
    • Track co-sponsorship agreements and assure that all required material are received
  • Logistics
    • Maintain inventory, ensuring adequate stock is available
    • Assist with packing and shipping to events
    • Ensure database is consistently updated and information is accurate

Selected candidate will offer a BA/BS degree and 2+ years of relevant experience in a highly professional business setting, ideally within the healthcare and/or association space.  In addition, we seek a high level of professionalism, ownership, adaptability and perfectionism (the good kind).  A lot is happening and we seek a service-oriented contributor who will thrive.
