Our client, a local healthcare board that oversees the licensing of specialized NC-based healthcare professionals, is actively recruiting for a very sharp and detail-oriented candidate to join its operations team. 

The organization is responsible for providing for the licensure and regulation of persons engaged in various healthcare fields. This Coordinator will be actively involved in processing licensing/renewal applications as well as providing administrative support to board executives.  Although credentialing experience would be a plus, they are willing to train an excellent candidate with similar application processing experience.  A keen eye for detail and strong compliance orientation will be critical.

Other Things to Note:

  • This is a remote role.  Seek candidates near the Cary area.  Semi-weekly pick-up and delivery of applications and other materials in Cary will be required.
  • This is a small team, comprised of <5 employees – in addition to volunteer board members.  Seek can-do and versatile candidate who enjoys working collaboratively with a small group to achieve a shared goal.
  • The focus of the role will be to process licensure applications and renewals.  These can be voluminous, and every “t” must be crossed and “i” must be dotted.  Seek meticulous candidate who enjoys processing work.  Some bkgd in credentialing, licensing or other application processing is expected.
  • The role will also involve administrative s duties including planning/organizing board meetings, website updates, member correspondence, renewals tracking, etc.  Seek skilled point-person who enjoys being the go-to for many activities.
  • This is an interactive role involving regular communication with applicants, current licensees, board members and other constituents.  Seek candidate with polished and engaging communication style.

Selected Duties:

Licensing & Renewal

  • Reviews incoming applications for completeness and compliance; follows-through on exceptions
  • Manages the annual renewal timeline and phases of early and late renewal periods
  • Reviews renewal applications for completeness, processes payments, verifies data as needed, updates database profiles, and approves renewal applications that meet criteria
  • Researches application and renewal violations and prepares matters for review by superiors
  • Prepares annual notices for required CEU’s; processes returned paperwork and tracks remaining hours
  • Works with stakeholders to troubleshoot technical issues and renewal questions


  • Works with Executive Director (ED) to prepare materials for Board meetings, including agendas, minutes, application materials, financial reports and other documentation
  • Sets up and manages virtual meeting details and ensures meeting notices are posted as required by law
  • Prepares and delivers verbal report to Board regarding new and renewed licensees and other updates as needed
  • Accurately takes meeting minutes at Board meetings; maintains Board meeting minutes archive
  • Prepares mass emails to licensees, including drafting and preparing quarterly newsletters
  • Working with ED, edits and maintains website and database
  • Manages inventory and resupplies home office materials, equipment, etc.

Targeted candidate will offer a related BA/BS degree and 4+ years of similar experience inapplication processing, paralegal work, etc..  Strong preference for candidates in association or membership management and/or healthcare. Experience working with a Board of Directors is also a plus.
