Medical Records Manager (RHIA preferred) – Direct Hire
We are actively recruiting for an exceedingly sharp and knowledgeable Medical Records/Health Information professional, with particular strength in optimizing medical records operations, to assume leadership role on its team.
The client is a Raleigh-based medical organization that is responsible for investigating grievances and/or claims against medical professionals. A critical component of the investigation process is the collection, assembly and review of medical records. It is essential that this work be done meticulously, comprehensively and efficiently. This Manager will be instrumental in that effort.
Key Things to Note:
Ø This is a newly-created position due to increased demand. This is a Direct Hire role.
Ø This Manager will oversee 5 – 8 team members who are charged with collecting and coordinating medical records in support of an investigation effort. We seek an experienced supervisor of staff.
Ø The team will request materials from medical offices, labs, hospitals, etc., most of which are using EHR systems such as EPIC, Cerner, NextGen, Allscripts, etc. Familiarity with most is expected.
Ø This is a new division and this Manager, in collaboration with the Director of Investigations, will develop the processes, procedures and protocols that will optimize operational effectiveness. We seek a process-oriented candidate who enjoys the building effort. RHIA certification is strongly preferred.
Ø The team uses Adobe Acrobat Pro extensively. Advanced skills including OCR, bookmarking, etc. will be important. Ability to adapt various forms of media is also expected.
Ø This is a highly interactive role, requiring extensive interface with colleagues, physicians, medical offices, investigators, etc. Seek candidate whose deep knowledge of medical records and medical records protocols is complemented by superb communication skills. Discretion and diplomacy are essential.
Ø This position is on-site at the organization’s Raleigh offices.
The Medical Records Manager will oversee the issuance of orders for the production of medical records and maintain the accurate and complete health care information within an electronic system. They will collaborate with physicians, investigators, paralegals, and attorneys to provide medical records to assist with medical expert review.
Selected Responsibilities:
Ø Leads a team who identifies and obtains medical records, laboratory results, x-rays and medical imaging studies from medical providers and facilities.
Ø Facilitates timely acquisition of medical records from all identified providers/facilities while ensuring completion and accuracy of requested documentation.
Ø Assists in the identification of medical records needed for investigation or review by in-house staff and contracted external medical expert reviewers.
Ø Supervises the organization of records, including contents, scanning and quality assurance.
Ø Reviews medical records with doctors, nurses, and other health professionals to assure completeness and accuracy. Provides timely follow-up requests.
Ø Designs and develops work-flow processes for management of medical records for the organization.
Ø Develops and implements a training plan for Medical Records Coordinators.
Ø Protects information in accordance with HIPAA.
Targeted candidate will offer a BS/BA degree and 5+ years of experience overseeing medical records and/or health information operations. 2+ years in a supervisory role is required. Registered Health Information Administrator (RHIA) certification is highly preferred.
Other priorities include:
Ø Extensive knowledge of medical terminology including the ability to recognize and identify progress notes, nurses’ notes, lab results and imaging
Ø Experience with multiple electronic health record systems (EHRs)
Ø Strong technology aptitude including Adobe Acrobat Pro, Microsoft Suite and ability to adapt various forms of media
Ø Experience in establishing protocols and policies regarding best practices
Ø Keen problem-solving and analytical skills
