Our client, an RTP area  medical association is actively recruiting for a very sharp and capable Meeting Planner to assume key role in its Education and Meetings Team. 

This association provides education, advocacy and research services to its membership (physicians, clinicians, and researchers) and runs numerous meetings, scientific sessions and education programs throughout the year. These programs will vary in size and content – from 25 to 2000 attendees. Seek candidate who is accustomed to handling a diverse portfolio of meetings.

Role will involve managing all aspects medical education meetings – either directly or by overseeing the work of others.  There are many moving parts. Seek a proactive and skilled point-person who can garner the cooperation of others and ensure vendors understand and execute the meeting strategies as planned. Seek a talented and high energy juggler with an expert understanding of meeting planning terminology and best practices.

Key Responsibilities:

  • Responsible for all aspects of assigned courses and meetings (pre-course planning, registration, venue/hotel management, contract adherence, audio visual requirements, evaluations)
  • Onsite meetings management (registration desk management, audio-visual management) to assure a positive attendee experience
  • Work with internal stakeholders to develop/distribute course brochures and ensure course website/registration site has accurate information
  • Work with internal teams to assure that the conference adheres to ACCME rules/regulations
  • Follow event budgets and monitor expenditures for assigned meetings. Reconcile and process all invoices and prepare final history report for meetings, as needed.
  • Prepare event forecasts including registration numbers, housing pick-up and budget projections.
  • Conduct post-event evaluations of staff, program committee, and attendees to determine how future events could be improved prior to next planning cycle
  • Keep abreast of convention and meeting marketing trends and facilities and use these to inform and improve future events
  • Keep abreast of continuing medical education trends and use these to inform and improve future events.

Selected candidate will offer a BA/BS degree and 4+ years of experience in meeting planning, ideally within the healthcare and/or membership association space. CMP designation preferred.  Demonstrated ability to independently execute all aspects of the meeting plan will be essential. In addition, we seek a high level of professionalism, ownership, adaptability and perfectionism (the good kind).  A lot is happening and we seek a contributor who will thrive.

This is a Direct Hire role and will offer a hybrid schedule.  Ability to travel and to work outside of traditional business hours needed.
