Our client, a professional association serving the medical community, is actively recruiting for a very bright, capable and versatile candidate to take on a broad range of office support and office management duties. 

This is a part-time role, estimated at 20 hours per week (flexible during daytime hours). 

This is a hybrid role, with 3 days during the week worked on-site at the RTP offices.

This Administrator will report to the organization’s CEO and assist with day-to-day duties as well as various initiatives and special programs. The association provides advocacy, research, and other support services to its members (physicians, researchers, etc.) and there are numerous administrative tasks that are critical to their success. This Administrator will be responsible for ensuring flawless execution of those tasks.

We seek a go-getter with excellent office support skills (including MS Office/Outlook), keen attention to detail and a “pitch in where I can” work style.  

Responsibilities will include:

  • Oversee general office operations and seek opportunities to improve the office functionality
  • Support CEO and select VPs with administrative duties including scheduling committee meetings, maintaining calendars, creating reports; composing minutes, emails, letters, etc.
  • Assist with planning travel and accommodation arrangements as needed
  • Receive, sort and distribute incoming mail and deliveries, and manage outgoing mail
  • Provide back-up to Executive Assistant for running staff meetings and creating slide decks
  • Keep staff documents and vendor contacts up to date on the Shared OneDrive
  • Data entry back-up for membership renewals, new member applications, address changes, etc.
  • Contribute to other projects and tasks as needed in support of organization’s success

 Targeted candidate will offer a BA/BS and 2+ years of office administration experience in a professional office setting. Experience with calendaring, travel, document control all important.

Other priorities include:

  • Strong organizational skills
  • Proficiency with MS Office products
  • Polished and professional communication skills (both written and verbal)
